In-Person Cancellation Policy

Deadline: 11 August 2022

Cancellations must be notified in writing (e-mail is sufficient) to the Congress Secretariat. Cancellations made by 11 August 2022 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person until the start date of the Congress without incurring any cost penalty. Refunds for cancellations received after 11 August 2022, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Congress Secretariat must be advised in writing of any alterations or transfers of registrations.

Congress Postponement

In the event of a postponement, all registrations will automatically be transferred to the new Congress dates. All components of your registration including accommodation bookings, Welcome Reception RSVP and Awards Dinner RSVP will also be transferred. If you are unable to attend on the new dates, you may contact the Congress Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.

Congress Cancellation

In the event of the cancellation of the Congress, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

State Borders Closed

In the event that the state borders are closed between 11 – 15 October 2022, and you are therefore unable to attend the Congress, a full refund will be offered for the value of your registration inclusive of any social function tickets. For any accommodation bookings, the Congress Secretariat will contact the hotel and put in a request for cancellation, however, the cancellation fee will be at the discretion of each hotel.

International Borders Closed

We ask all international delegates to carefully monitor the Australian travel restrictions and exemptions: https://covid19.homeaffairs.gov.au/travel-restrictions

In the event that international borders open for international travel and delegates register during this time, and then borders are re-closed between 11 – 15 October 2022, from your departing country and Sydney and you are no longer able to attend the Congress in-person, your registration will be transferred to a virtual registration and the difference will be refunded, inclusive of any social function tickets.

All best endeavours will be made to present the program as published on the website. The Congress and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the Congress Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the Congress Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Congress does not cover individuals against cancellations of bookings or theft or damage to belongings.

Virtual Cancellation Policy

Deadline: 11 August 2022

Once your registration has been completed, there will be no refunds available. The content will remain on-line and active for 3 months after the Congress dates and remain accessible for registered delegates to view at any time during this period, hence providing full value to any registered parties. The Congress Secretariat will not provide any refunds. Your registration may be transferred to another person by 11 August 2022. The Congress Secretariat must be advised in writing of any alterations or transfers by this date

Disclaimer

In registering for IAP 2022 relevant details (name/country) will be incorporated into a delegate list for the benefit of all delegates, and also may be made available (if necessary) to parties directly related to the Congress including sponsors, key suppliers and future Congress’. Your name and contact information may be used by the Congress Secretariat and other approved stakeholder, for marketing and managing this and future events of this type.

Accommodation

Deposits

Accommodation will not be confirmed until payment of the first night is received by Credit Card or full pre-payment is received by Cheque or Electronic Funds Transfer. Your payment will be forwarded to your hotel and credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check in/out depending on the hotels policy. If accommodation deposits are not received before 8 September 2022 your room will be cancelled and released back to the hotel. The Congress Secretariat does not take responsibility for accommodation if payment is not received by this date.

Cancellations

NO ACCOMMODATION PAYMENTS WILL BE REFUNDED ON OR AFTER 8 September 2022. Delegates who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 8 September 2022 are liable for the full cost of their accommodation nights cancelled. To cancel your reservation, please contact the Congress Secretariat at [email protected]. Name changes to a reservation can be made at no charge.

State Border Closure

Should Australian Federal &/or State Governments make a decision relating to COVID-19 gatherings, closure of borders and travel restrictions, a full refund of all deposits and payments is available, if the cancellation is made up to five days prior to arrival. If the cancellation occurs within five days to arrival, the monies held will be used for future bookings.

Change of Booking

Any change in booking must be made in writing to the Congress Secretariat and NOT directly to the hotel before 8 September 2022. Any changes received after 8 September 2022 will be at the hotels discretion and based on availability.

Early arrival

As check in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Congress Secretariat so we can notify the hotel that your room is required early.

No show policy

In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.
